This Refund & Cancellation Policy outlines the terms governing booking cancellations, refunds, modifications, and rescheduling for all luxury vehicle rental services offered through our website and customer support channels.

By making a reservation with The Luxury Ride, you acknowledge and agree to the terms stated below.


Booking Confirmation

A booking is considered confirmed only after:

  • Receipt of the agreed advance payment.
  • Confirmation from The Luxury Ride team.
  • Vehicle availability verification.
  • Customer acceptance of the quotation and booking terms.

The Luxury Ride reserves the right to decline or cancel bookings in exceptional circumstances, including vehicle unavailability, operational issues, force majeure events, or safety concerns.


Cancellation Policy

More Than 15 Days Before Service Date

Customers canceling their booking more than 15 days before the scheduled service date may be eligible for a partial refund after deducting administrative and transaction charges.


7 to 15 Days Before Service Date

For cancellations made between 7 and 15 days before the scheduled service date:

  • Advance payments may be partially refundable.
  • Processing and operational charges may be deducted.

Less Than 7 Days Before Service Date

For cancellations made within 7 days of the scheduled service date:

  • Advance payments may become non-refundable.
  • Vehicle blocking and operational costs may already have been incurred.

Same-Day Cancellation

For cancellations on the day of service:

  • No refund will be applicable.
  • Full booking charges may be retained.

Refund Policy

Refund eligibility depends upon:

  • Cancellation timing.
  • Vehicle category.
  • Service location.
  • Operational commitments.
  • Vendor and chauffeur allocations.

If approved, refunds will generally be processed through the original payment method.

Refund Processing Time

Approved refunds may take:

  • 7–14 business days
  • Depending on banking partners and payment gateways

The Luxury Ride is not responsible for delays caused by financial institutions or third-party payment processors.


Non-Refundable Situations

Refunds will generally not be available under the following circumstances:

  • No-show by customer.
  • Incorrect travel details provided by customer.
  • Same-day cancellation.
  • Early trip termination by customer.
  • Delays caused by customer.
  • Refusal to utilize booked services.
  • Violation of booking terms.

Rescheduling Policy

Customers may request booking modifications subject to:

  • Vehicle availability.
  • Route availability.
  • Date availability.
  • Pricing differences.

Rescheduling requests should be submitted as early as possible.

The Luxury Ride cannot guarantee availability for revised dates.


Vehicle Substitution

In rare situations involving mechanical issues, breakdowns, maintenance requirements, or unforeseen circumstances, The Luxury Ride reserves the right to provide a similar or upgraded vehicle category whenever possible.

Such substitutions shall not qualify for refunds.


Force Majeure

The Luxury Ride shall not be held responsible for service interruptions caused by events beyond reasonable control, including:

  • Natural disasters
  • Floods
  • Earthquakes
  • Government restrictions
  • Political unrest
  • Road closures
  • Pandemic-related disruptions
  • Strikes
  • Extreme weather conditions

Refund decisions in such cases shall be evaluated individually.


Customer Responsibilities

Customers are responsible for:

  • Providing accurate booking information.
  • Being available at the pickup location on time.
  • Maintaining proper conduct during travel.
  • Following applicable laws and regulations.

Failure to comply may result in service termination without refund.


Chauffeur Waiting Charges

Additional waiting charges may apply if:

  • Pickup delays exceed the complimentary waiting period.
  • Travel schedules are modified during service.
  • Customer requests additional hours beyond the agreed package.

Such charges are separate from the original booking amount.


Outstation and Multi-Day Bookings

For outstation tours, destination weddings, corporate events, and multi-day bookings:

  • Special cancellation terms may apply.
  • Custom quotations may include separate refund conditions.
  • Advance vendor commitments may affect refund eligibility.

Customers are encouraged to review quotation-specific terms before confirming bookings.


Luxury Wedding Car Bookings

Luxury wedding vehicle reservations often involve vehicle blocking and high-demand scheduling.

Therefore:

  • Advance payments for wedding bookings may be partially or fully non-refundable.
  • Peak-season wedding bookings may have stricter cancellation conditions.

Corporate Bookings

Corporate clients may be subject to customized cancellation and refund agreements outlined in their respective service contracts.
